Protecting your students in the age of AI
3:32

Sharing moments from daily school life helps build community and celebrate student achievements. But AI-generated content, deepfakes, and image misuse mean schools need to review how they manage media, identifying details, and consent across digital channels. The Australian eSafety Commissioner makes the same point in its guidance on sharing school imagery in the age of AI.

We don’t prescribe how schools should manage this. Instead, our iSAMS cloud-based school management system lets independent schools apply their own policies, with control over permissions, data exposure, and communication channels to help safeguard students and staff. Below is how specific iSAMS features can support whichever approach your school chooses.

Key iSAMS modules for media safety and consent management

1. Audit and capture consent from onboarding

Before publishing photos or videos online, schools must confirm active, up-to-date consent. iSAMS captures consent early and tracks it across the student journey.

  • iSAMS Admissions Portal and Admissions Manager: Capture media consent from parents at the start of the application process, during enquiry or through registration forms.
  • iSAMS Data Protection Module: Syncs consent recorded in the Admissions Portal into central consent registers, so you can manage, update, and track GDPR media preferences for every student throughout their time at your school.
  • iSAMS Student Profiles: Media consent flags display on student records, so staff can check consent before they publish marketing, newsletters, or social posts.

2. Restrict image access and limit exposure

The eSafety guidance recommends moving away from open, public channels to secure, closed environments. This reduces the risk of images being harvested or manipulated without permission.

  • iSAMS Parent Cloud Portal: Share school news, photo galleries, and updates inside an authenticated, closed network rather than on open public channels.
  • iSAMS Student Cloud Portal: Share event photos and achievements with students inside a secure login environment.
  • iSAMS News Manager: Publish tailored internal articles with audience visibility settings you can control.

3. Control system permissions and media storage

Securing stored source files limits who can access or download high-resolution student images.

  • iSAMS Control Panel and System Security: Granular user permissions let system administrators restrict who can view, download, or export student documentation.
  • iSAMS Student Manager: Store official student records and documentation in one audited space.

4. Respond quickly to online incidents and support wellbeing

If image misuse happens, schools need clear communication routes and pastoral tracking.

  • iSAMS Reward and Conduct Manager: Log and monitor behavioral incidents, including misuse of technology and social media policy breaches, within custom pastoral structures.
  • iSAMS Discipline Manager and Exclusions Manager: Manage disciplinary follow-ups if incidents involve members of the school community.
  • iSAMS SMS Gateway, Email Communications, and Daily Bulletin Manager: Send direct guidance to staff or families during an online safety incident.

With consent tracked from enrolment through to daily school life, and secure communication portals in iSAMS, your administrative and pastoral teams can protect student and staff identities while keeping your school community connected.
